    Responsibilities

    Provide HR and administrative support to the Employment Manager and the recruitment team. Assist with posting of all positions, maintain and update HR database, schedule interviews, track all recruitment activity and create staffing reports on as needed basis, distribute candidate materials, complete background checks, assist the recruitment team with candidate communications, and other duties as assigned. 

     

    Duties

    • Post positions to external websites and monitor job postings
    • Research new job posting sites
    • Track recruitment ads and advertising expenses and maintain appropriate documentation to support assignment of expenses
    • Mine resume databases to find “passive” candidates
    • Schedule phone screens and interviews for recruiters
    • Schedule and coordinate career fairs for recruiters
    • Maintain career fair calendar
    • Assist recruiters with internal job postings and required paperwork
    • Facilitate candidate workflow and notify recruiters and managers of additional information needed
    • Conduct  criminal background checks
    • Conduct  employment verifications
    • Conduct reference checks if requested by recruiter or HR management
    • Validate post-secondary education for applicants
    • Validate credentials (licenses, certifications) required for the position
    • Create and update all job templates in iCIMS applicant tracking system
    • Troubleshoot questions and train managers on using applicant tracking system
    • Work with ATS vendor on report specifications
    • Track diversity outreach efforts and update affirmative action binder
    • Track sign-on, relocation and COBRA reimbursement payments
    • Backup for recruiters who are on vacation or at job fairs
    • Assist with new employee orientation
    • Backup for applicant skills testing
    • Backup for Human Resources receptionist
    • Distribute employment-related correspondence including applications, forms, and other materials
    • Design, order and distribute flyers to hospital units and local schools
    • Performs other duties as assigned by Employment Director

    Qualifications

    Education Background

    • High School diploma or equivalent required. 
    • Bachelor’s degree.

    Licensure, Registration, Certification 

    • None required

    Special Training/Skills

    • Excellent oral and written communication skills
    • ATS system implementation and maintenance skills
    • Intermediate or advanced knowledge of Microsoft Office including Outlook, Word and Excel
    • Excel skills using pivot tables v-look up skills also a plus
    • Detail oriented
    • Ability to manage multiple assignments simultaneously
    • Ability to establish and maintain effective working relationships with external and internal clients and work effectively with recruitment staff
    • Ability to maintain a high degree of confidentiality
    • Communicate in a courteous and professional manner

    Work Experience

    • Two or more years of recruitment support experience
    • Previous experience with applicant tracking systems or similar software tool preferred
    • Working knowledge of EEO, labor laws and regulations affecting employment preferred. 
    • Working knowledge of affirmative action/OFCCP requirements
    • Business Administration and/or Human Resources background preferred
