    Responsibilities

    Northwest Medical Specialties has an outstanding opportunity for a full-time Clinic Patient Services Specialist; supporting three providers in a growth-focused, start-up clinic which opened March 2016.  Areas of specialty are Therapeutic/Interventional Gastroenterology and Hepatology.

     

    The ideal candidate will actively demonstrate service excellence standards and independently provide support services within the clinic.

     

    Duties and Responsibilities:

    Reception Activities:

    • Demonstrate excellent customer service skills.
    • Greets and directs visitors/patients and offers assistance.
    • Ensures smooth patient flow.
    • Reviews clinic schedule daily.
    • Obtains and updated patient demographic and insurance information.
    • Processes and prints daily PVS for all patients.
    • Provides general patient services.
    • Responds to patients’ needs and concerns as appropriate. Investigates complaints and works with office Lead, Supervisory, or Manager to find solutions.
    • Accepts patient payments (co-pays, deposits, etc.)

    Appointment Scheduling & Telephone Support:

    • Answers multiple telephone lines using defined etiquette standards; route calls and messages per clinic specific guidelines.
    • Coordinates and assists in scheduling ancillary appointments and consults.
    • Assembles and sends appointment and other information.
    • Assists in preparation and maintenance of provider and clinic schedules.
    • Using clinic guidelines, gathers information on the telephone regarding the nature of the patient concern and triages call to appropriate staff.

    Referral Coordination:

    • Reviews the Epic Referral Queue daily for incoming orders and new patient referrals.
    • Obtains necessary insurance plan information.
    • Maintains ongoing documentation and tracks authorized referrals.
    • Ensures that all referrals are properly linked to appointments.
    • Obtains any additional outside records as needed.

    Medical Record Activities:

    • Reviews daily schedule to identify required medical records requests.
    • Orders, coordinates, and distributes medical records as needed.
    • Processes all copying request and follows UW guidelines in sending appropriate requests to HIM.
    • Scans appropriately pertinent medical records information as instructed by provider following UW scanning guidelines.
    • Scans all in house test results, ultrasounds, ECG’s, etc…attaches to appropriated order.

    General Duties, including but not limited to:

    • Assists in orientating and training new staff.
    • Review email daily to stay current with clinic communication.
    • Maintains the physical environment for safety of staff and patients for aesthetic presentation of the area.
    • Open, sorts, and distributes daily faxes and mail.
    • Assist other clinics as needed.
    • Performs other related duties as required.

    Driving, includes but is not limited to:

    May be required to drive an automobile (or other vehicle) as a function of job in-between clinic sites.  If so required, completes all NWH driver clearance procedures and paperwork.  Drives carefully and in accordance with the law and NWH driving standards. Maintains a valid Washington Driver’s License and a clean driving record.

    Qualifications

    Education Background

    • High school diploma or GED equivalent.
    • Some college coursework preferred.

    Licensure, Registration, Certification

    • If driving is included as a function of the job, maintains a valid Washington Driver’s License and clean record.

    Work Experience

    • Minimum of one year administrative or clerical support required.
    • Experience in a health care setting preferred.
    • One year customer service experience required

    Special Training/Skills

    • Microsoft application skills: Word, Excel and Outlook.
    • Data entry skills required.
    • Keyboard skills: 35+ wpm preferred
    • Excellent organizational skills, high attention to detail and accuracy.
    • Knowledge of medical terminology.
    • Knowledge of physician practice management systems preferred.
    • Familiarity with electronic medical records.
    • Ability to demonstrate the knowledge and skills necessary to provide care appropriate to the age of the patients served.

    Physical Abilities

    • Ability to sit for up to four hours at a time. 
    • Able to operate a computer.
